Help center Reporting and performance Choose and build the right support operations report Updated Wednesday, October 28, 2026 · Marcel Gravelle A useful support report answers a defined question for a defined audience and leads to a decision. Supportbench gives B2B teams complementary tools: Dashboard widgets for signals, KPIs for defined performance measures, case views for actionable records, and scheduled data views for repeat distribution. Choose the tool after you decide what the reader needs to know; a polished chart with an unclear population can send a team in the wrong direction. At a glanceFor: support operations leads, supervisors, account owners and reporting administrators. Applies to: Supportbench Core.Start here: Dashboard; Reporting → KPI Scorecards or Scheduled Data Views; Cases → View selector Choose the tool that matches the question · Write a short report brief before building it · Prepare access and reliable inputs · Build and verify a weekly account case review · Turn a tested report into a dependable schedule · Use Dashboard and KPIs for a performance discussion · Combine the tools for a customer operations review · Investigate a mismatch in a fixed order · Common reporting problems Choose the tool that matches the question QuestionStart withExpected outputWhere is workload or service performance changing?Dashboard.A current-when-requested visual signal, using each widget’s defined period and population. How did a defined performance measure change?Reporting → KPI Scorecards and its applicable filters.A scorecard or trend interpreted using the metric’s precise definition.Which cases need action now?Cases and an appropriate saved view.A list of eligible records with owners, state and decision-making context.Which cases should an account meeting discuss?A focused customer case view and a reviewed export if needed.A dated agenda, with case IDs that let the owner return to current evidence. How do we distribute the same report repeatedly?Scheduled Data Views, using a tested underlying view.A scheduled PDF or spreadsheet snapshot, with recipient and history verification. How are current cases distributed by a field?Grouping bar and table pivoting in Cases.Groups within the current authorized filtered list.Which fields and criteria can a reusable view contain? The Data Views configuration reference.A reviewed saved definition, with supported fields, ordering and sharing. These surfaces work together. A Dashboard can identify increasing pressure; a case view identifies the actual work; a scheduled report gives an agreed audience a repeatable snapshot. Core does not require or expose the old “New Dashboard” procedure described in some historical guidance. Write a short report brief before building it Decision to documentExample for a weekly B2B account reviewAudience and ownerThe internal account owner and support lead; name the person who maintains the report.QuestionWhich open cases for this customer need a decision, update or specialist dependency reviewed this week?PopulationThe intended Company and eligible open case states, with explicit treatment of linked or related organizations.Time meaningCurrent open work as of generation time; recent closures only if the agenda explicitly includes them.ColumnsCase ID, subject, Company/Contact, owner or queue, state and relevant maintained commitment fields.CadenceA reviewed snapshot before the meeting, with time to investigate exceptions.ActionEach discussed case leaves with a next step, an accountable owner and a checkpoint.Success checkA known matching case is included, an unrelated case is excluded and recipients are appropriate.Be explicit about customer relationships. A parent Company, subsidiary and individual Contact are not interchangeable filters. Verify the actual saved criteria and row population rather than assuming a friendly report title establishes the intended account boundary. Prepare access and reliable inputs Confirm the permissions for the chosen reporting surface, view editing and schedule management. A person who can read a report may not be authorized to change its shared definition.Review the intended data audience. An exported file can be forwarded independently of the permissions that protected the live records. Include only the necessary information and approved recipients.Check data quality for fields the report depends on, such as Company, owner, issue classification, state and service commitments. Inconsistent capture makes a precise-looking report misleading.Choose representative cases for inclusion/exclusion tests. Include an edge case such as a transferred case, a recently closed case or a customer with several Contacts.Record the date/time interpretation. Cases created in a period, cases closed in a period and activities created in a period are different populations. Build and verify a weekly account case review Open Cases. Check the current Agent, Queue and View selectors so surrounding scope does not silently exclude relevant work.Choose Add a View or the supported New View action. Name it for the decision, for example “Weekly account review — open cases.”Use the view editor’s applicable Companies, Contacts, Cases and other supported criteria to select the intended population. Add one condition at a time and understand its effect.Use Ordering & Columns to include identifiers and information the meeting will act on. Keep the result readable; a large export of unused fields is harder to validate.Review the view type and sharing in the relevant View and Properties controls, then save through the action available to your role.Open the result. Find the known matching case and check that the unrelated case is absent. Compare active grid filters and surrounding selectors if either test fails.Open representative rows and verify that ownership, state and commitments are current. A list field does not replace reading the latest case activity. If an offline agenda is needed, use Export to PDF or Export to Spreadsheet. Open the generated file, check its rows/columns and record its generation time.Have a representative intended user open the shared view. Their permissions can produce a different result; resolve that difference before the meeting depends on the report.Save changes intentionally. A temporary grid filter, Save this View’s state and Update this View have different effects. Editing a shared definition can affect colleagues and schedules that use it. The view guide explains those persistence rules in detail. Turn a tested report into a dependable schedule Open Reporting → Scheduled Data Views after the underlying view has passed validation.Create or open the intended schedule and select the tested view, supported export format, recurrence and recipient configuration. Use the scheduled-view guide for the complete editor procedure.Verify enabled state, start/recurrence settings and time-zone interpretation. Choose a time that leaves the report owner room to review the output before the meeting.Begin with the approved report owner as recipient where practical. Inspect the first output before extending distribution to the agreed audience.Open History for the actual run. Check the occurrence and download the report to verify content. A generation record and delivery to an inbox are separate checks.Revisit the schedule when the meeting, customer owner or recipient responsibilities change. Pause an obsolete distribution through the supported Enabled control and verify it is saved.A scheduled export is a snapshot. It does not become a live case view inside the recipient’s inbox. If a customer asks about a case that changed after generation, open its current record before making a commitment. Use Dashboard and KPIs for a performance discussion State the operational question, such as whether first-response performance changed for a particular team. Choose the appropriate defined measure rather than the most visually impressive card.Set the permitted team/agent/Division scope and review the applicable period. Refresh Dashboard explicitly; it has no automatic refresh and no universal date control for every card.Read the metric definition: qualifying records, attribution, date basis and unit. For example, same-day closure means the same local calendar day, not 24 elapsed hours.Compare like periods and populations. Account for team changes, missing data, case complexity and differences in customer service commitments.Read representative outliers and customer feedback before attributing the result to individual effort or quality. AI sentiment/predicted satisfaction and received survey feedback are different signals.Record one specific improvement, its owner and how you will evaluate it. Repeat the same clearly described measure at the agreed checkpoint and explain any scope changes.Counts need context in complex supportOne agent may coordinate a long-running integration failure across several teams while another closes many routine questions. Case counts, activity counts, online time and customer outcomes measure different aspects of work. Use them to ask better questions; do not present an unqualified count as a complete performance judgment. Combine the tools for a customer operations review A customer has recurring equipment incidents and an upcoming deployment. The account owner needs to understand risk and agree next steps, not simply see the total number of tickets.StageTool and actionEvidence to leave behindPrepareUse the focused Company case view, with reliable asset/issue criteria when available.A checked case list and a clear statement of what is included.Understand the patternRead affected cases and compare environment, timing and diagnostic evidence. Use grouping to organize the review.Confirmed common facts separated from hypotheses.Discuss commitmentsReview current owners, escalations, service deadlines and the next customer update.A named owner and next action for each material risk.Add performance contextUse defined KPI measures or relevant Dashboard signals with their period and population.A carefully labelled comparison, not a claim that all cards use the account’s exact case set.Reuse the resolutionImprove a reviewed knowledge article when the fix is repeatable.A usable guide with the appropriate audience and verification steps.Follow upUse a scheduled view if the same agenda is needed repeatedly.A verified report run and current distribution owner. This combines operational records, customer relationships and reusable knowledge. The report becomes useful because it supports decisions and continuity across teams, rather than because it contains more charts. Investigate a mismatch in a fixed order Compare the question and unit: cases, activities, survey responses, durations and article events cannot be reconciled by title alone.Compare the date basis and boundaries: created, closed, resolved, received or current-state populations; local dates and generation times matter.Compare explicit filters, Agent/Queue selectors and hidden or active grid filters.Compare role/record access and any Team or Division attribution rules. The same visible label can feed different metric logic.Inspect exclusions such as Trash or merged records and missing/not-applicable values. A dash should not be silently converted to zero.Use a small set of known records to demonstrate the difference. Record IDs, scope, time and expected/observed behavior before raising an issue. Common reporting problems ProblemCorrective actionThe report contains unrelated customersInspect actual Company/Contact criteria and the exported rows. Stop distribution until the population is correct.A saved report changed unexpectedlyReview edits to the underlying shared view and its saved state, then check every dependent schedule.A leadership number differs from a live case countCompare metric definition, date population, scope and refresh/generation time before calling either wrong. The scheduled email is absentCheck History for generation first, then investigate delivery separately. Avoid repeated sends until the outcome is understood. The output is too wide to useRemove fields that do not support the decision and put identifiers/commitments first. Keep detailed investigation in the live case. The report has no owner after a team changeAssign a responsible maintainer and review its criteria, schedule and recipients. The guide’s old menu labels do not existUse the current task paths above and the linked configuration reference.
