Help center Customers and assets Save and share Company and Contact views for account operations Updated Wednesday, October 28, 2026 · Marcel Gravelle Saved Company and Contact views let a B2B support team return to the same customer segment and working layout without rebuilding it each time. Use a Company view for an account-level review and a Contact view when the task concerns individual people. The value is a consistent starting point for follow-up: colleagues can use the same definition while still seeing only the customer records their access permits. At a glanceFor: account-support teams, customer success partners, support supervisors and customer-data administrators. Applies to: Supportbench Core.Start here: Companies or Contacts → View → create or edit a saved view Choose Company, Contact or Case work · Prepare the definition and sharing scope · Create a Company view · Create or edit a Contact view · Share a usable definition and direct link · Worked example: a weekly account review · Choose export options for the recipient · Troubleshoot missing or inconsistent saved views Choose Company, Contact or Case work TaskStart withWhyReview a group of customer organizationsCompaniesThe account is the unit of review; open it for the relevant customer context.Find people for a defined support follow-upContactsThe individual person and their saved information are the unit of work.Find unresolved work for those customersCases and a suitable Case viewA customer directory does not itself represent the open-work queue.Send a customer announcementAn approved broadcast audienceSaving or sharing a directory view does not send a message or establish broadcast eligibility.Investigate a one-off customer questionA temporary search/filter or a personal saved viewAvoid changing the shared account-review definition for a temporary investigation.Start with the decision you need to make, then select the available fields that support it. Do not assume an example segment such as “strategic accounts” is a universal built-in classification; use the fields and values your organization actually maintains. Prepare the definition and sharing scope Confirm you can open Companies or Contacts and view the relevant customer records.Identify the saved view’s purpose, owner and expected users. Agree the record criteria before deciding who should share it.Check permission to manage data views. Shared Team or Everyone/global views additionally require the applicable global-view permission. A colleague may be able to use a view without being able to redesign it.Inspect the customer data behind your criteria. Incomplete or inconsistent Company/Contact information produces an incomplete segment even when the filter is technically correct.Decide whether the result should be personal, shared with named users, shared with a team, or generally available to authorized agents. Sharing a definition does not override record permissions. If editing an existing shared view, consider a separate copy for experimentation so the established review process remains predictable. Create a Company view Open Companies. The View selector includes built-in starting points such as Recently viewed, Assigned to me and All companies. Choose an appropriate starting point.Use Search companies and the available Filter controls to select the intended records. Set the sort order and use Columns to show the information needed for the task. Use available grouping for the review where appropriate.Choose Create view, shown with the plus action beside the view selector.Enter a recognizable name of no more than 50 characters. Include the task or segment, for example “Account review — service team”.Choose Only me, Selected users, Team or Everyone as permitted. Select the intended users or team when required.Review Export only visible columns and Exclude Supportbench IDs from exports. Choose deliberately based on the intended recipient and whether stable IDs are needed for reconciliation.Choose Save view. Reopen it through View and verify the saved search, filters, sort and columns.Use Edit saved view, the gear action, when you intend to revise its saved definition. Use Save a copy where offered when the work should become a separate view. The current on-screen arrangement and the saved definition are related but distinct. After changing a temporary filter or layout, reopen the saved view and check what it restores before telling colleagues that the shared definition has changed. Create or edit a Contact view The Contact view editor uses different labels and tabs from the Company list. Follow the controls shown in that editor rather than expecting the Company dialog to be identical.Open Contacts and select the intended starting view. Use its saved-view create or edit action. In View, enter the name and review the available sharing choices, including Team, Shared agents and Global view where permitted.Open Filters and define the saved search and criteria. Distinguish All filters from Any filter: the choice changes whether the combined conditions narrow the list or admit alternative matches.Open Columns & Layout and select the useful fields, sort and grouping available to that view.Open Exporting. Review Export only visible columns and Remove ID columns from exports for the intended use.Save the view using the editor’s save action, select it again and verify known matching and nonmatching Contacts.Have a representative intended colleague open the shared view and check their authorized results. For example, a segment intended to include people who meet two conditions should not use an alternative-match combination merely because it returns more rows. Write the intended sentence first, then confirm the filter logic reflects it. Do not assume Company fields or Case criteria are available in a Contact view unless that editor offers them. Share a usable definition and direct link ScopeUseful situationCheck before savingOnly me / personalA one-off investigation or an unfinished definition. The creator can maintain it without disrupting a team routine.Selected users / Shared agentsA small account team needs the same working list. The intended agents are selected and can access the underlying records.TeamA repeatable team-level account or contact review. The right team is selected and the definition has an owner.Everyone / Global viewA broadly useful standard directory view. The naming and criteria are stable enough for wider use; required permission is present.Open the saved view, then copy its current browser URL when sharing a direct link. A Company saved-view URL can identify the selected definition with its view ID.Explain what the view is intended to show and how often it should be reviewed. A bare link gives the recipient less context.Ask a representative recipient to open it under their own account and verify the view name and results. If the recipient cannot use the link, inspect view sharing and their existing record access separately. Do not make the definition global merely to bypass an unrelated access issue.A direct link is a navigation aid. It is not a public customer portal link and does not grant access to customer records. Send it only through the appropriate internal channel. Worked example: a weekly account review A support supervisor and an account manager need a repeatable review of a maintained customer segment. They agree the Company fields that identify that segment and create a shared Company view showing the information they actually use. They verify an included and excluded Company, then open representative records to review the customer context and use a separate Case view for unresolved support work.Name the view for the segment and review task, not for the person who first created it.Share with the responsible team or named agents rather than every agent by default. Before each review, open the saved definition and confirm there are no unintended temporary filters. For each account requiring action, record the responsible person and next step in the appropriate operational record. A saved view is not itself a task assignment. When exporting an internal review list, include stable IDs only if they are needed for reconciliation. Check the actual exported columns before distributing it.After the review, correct stale customer data through the normal authorized process and verify that the view still selects the intended segment. This approach supports continuity when an account owner is absent. Another authorized team member can start from the same definition, while the customer history and active Cases remain the evidence for decisions. Choose export options for the recipient Visible columns and ID removal control what an export includes; they do not sanitize every value in a customer record. A personal phone number or confidential account note can still be sensitive even when Supportbench IDs are removed.NeedSuggested choiceTradeoffReadable internal meeting listExport only the visible columns after arranging the useful layout.Useful hidden fields are omitted; verify the output before relying on it.Reconciliation with another authorized systemRetain stable IDs when the approved process needs them. The file requires suitable handling and an agreed mapping.A simplified human-readable listRemove IDs when they add no value to the intended task.Matching records by name alone can be ambiguous later.Check the generated file, the date of export and the intended recipients. Saved export preferences do not authorize external distribution, and the exported file is a snapshot rather than a live customer list.
